Can Odoo handle construction procurement and imported materials?

For a construction or formwork business, procurement is where the real money moves. Imported steel and shuttering panels, thousands of consumables, transport quotes that change by the week, duty and port charges that quietly inflate your landed cost, and dispatches that must never leave the yard without a sign off. When all of that lives in separate files, nobody can say what a material actually cost by the time it reached the slab.

Odoo puts procurement, imports, vendors, quality and dispatch on the same ledger that runs your projects. Below are the questions a buying team actually asks, answered with the kind of examples you meet on a real site.

Can Odoo maintain full import documentation?

Yes. Bill of Entry, duty paid, commercial invoice, vessel number, port charges and the logistics partner all link to the Purchase and Inventory records, so every import is fully traceable.

Take a container of imported shuttering panels landing at Nhava Sheva. In most companies the import file sits in one folder, the duty challan in another, the freight bill in an email, and the stock entry somewhere else entirely. In Odoo they all hang off the purchase order and the stock it created. Why does landed cost matter so much for construction margins?

Because the price on the vendor invoice is rarely the price you actually paid. Freight, duty and handling can add ten to twenty per cent, and if that is not captured, every quotation built on the base price is wrong.

Say your steel arrives at a base cost, but ocean freight, customs duty and port charges push the real per tonne figure well above it. If your estimator quotes the next job on the base cost, the margin looks healthy on paper and disappears in practice. With landed cost captured against the receipt, your costing pulls from reality, and your tenders are priced on what materials genuinely cost you.

Can you compare transporters and control vendor enquiries?

Yes. Transport enquiries, quotation comparison and transporter assignment are handled inside Odoo, alongside ordinary vendor management, and the decision is recorded.

When you need to move a consignment of props from a depot to three sites, you can float the enquiry to your transporters, line up their quotes side by side, and assign the winner, with a record of why. No more choosing a transporter over a phone call that nobody remembers a month later.

Delivery acknowledgements and inventory updates then confirm that material has actually reached the site, rather than being assumed.

• Delivery: confirm dispatch and site receipt, closing the loop on “did it actually arrive”.

Can Odoo run quality checks on incoming material?

Yes. The Quality module lets you configure checks at receipt, during production and at dispatch, so defective material is caught at the gate rather than on the slab.

A bent panel or an out-of-spec tie found during erection is expensive and dangerous. A quality check on receipt, with a simple pass or fail and a note, stops that material from moving further into the job. The same applies at dispatch, so what leaves your yard has been verified.

Can dispatch be blocked until approvals and advance are in?

Yes. Approval workflows and sales stages ensure production or dispatch only begins once the required sign off and the customer advance are in place.

For customised formwork, many companies insist that an Accounts Controller approval and a customer advance are compulsory before anything is produced or shipped. Odoo enforces that order. No approval and no advance means the order cannot progress to dispatch. The control lives in the workflow, not in one manager’s memory, so it holds even when that manager is on leave.

Can procurement stay linked to the project and its BOQ?

Yes. A material requirement can be raised from a site, turned into a purchase order, and issued against the project and its bill of quantities, so consumption is visible job by job.

This is where construction procurement earns its keep. A site raises a requisition for props and ties against a BOQ line. That becomes a purchase to the approved vendor, the material is received and then issued to the site, and the cost lands against that specific project rather than a general pool. When a site starts burning through more shuttering than the BOQ allowed for, you see it while you can still do something about it, not at final reconciliation three months later. Vendor rate history sits on each supplier as well, so the next enquiry starts from what you last paid rather than a blank quote, and a buyer can spot a supplier who has quietly crept up on price.
